How to Compress PDF for Email (Under 25MB)

·4 min read

You've got a PDF to send, but it's too big for email. Gmail, Outlook, and most email providers cap attachments at 25MB. Corporate servers sometimes limit it to 10-15MB. Here's how to get your PDF under the limit without losing quality.

Why Are PDFs So Large?

PDF files get bloated for several reasons:

  • Embedded images: High-resolution photos and screenshots are the most common culprit. A single full-page image can add several megabytes.
  • Embedded fonts: PDFs often embed entire font files to ensure consistent rendering. Multiple fonts multiply the effect.
  • Metadata: Author info, revision history, thumbnails, and form field data all add to file size.
  • Scanned documents: Scanned pages are stored as images, making these PDFs significantly larger than text-based ones.

How to Compress a PDF for Email

Step 1: Open the Compress Tool

Go to the AskPDF compress page. No account or installation needed — it works right in your browser.

Step 2: Upload Your PDF

Drag and drop your file or click to browse. The tool accepts PDFs up to 10MB on the free tier and 50MB with Pro.

Step 3: Choose Your Compression Level

AskPDF offers three compression levels:

  • Low: Minimal changes. Preserves everything including metadata. Best when you need the file slightly smaller.
  • Medium: Strips metadata and unnecessary data. Good balance of size reduction and quality. This is what we recommend for most email attachments.
  • High: Maximum reduction. Strips all metadata and optimizes aggressively. Use this when you need to hit a tight size limit.

Step 4: Compress and Download

Click "Compress PDF" and the tool processes your file instantly in the browser. You'll see the original size, compressed size, and the percentage saved. Download the result and attach it to your email.

What If It's Still Too Large?

If your PDF is still over the limit after high compression, you have a few options:

  • Split the PDF: Use the split tool to break it into smaller parts. Send each part as a separate attachment or in separate emails.
  • Convert to images: If the recipient just needs to view the content, convert the PDF to JPG images — these are often smaller than the PDF equivalent.
  • Use a cloud link: Upload the full PDF to Google Drive, Dropbox, or OneDrive and share a link instead of an attachment.

Compression Tips

  • Text-heavy PDFs compress best. Reports, contracts, and ebooks typically see the biggest size reductions.
  • Scanned documents are harder to compress. Since they're essentially images, there's less room to optimize. Consider re-scanning at a lower DPI if possible.
  • Try Medium first. It's the sweet spot for most files. Only go to High if Medium doesn't get you under your size target.

Privacy Matters

When you compress a PDF with AskPDF, the file stays on your device. Processing happens in your browser — no upload to any server. This is especially important when you're compressing sensitive documents like contracts, invoices, or medical records before emailing them.
